This notice explains how Ben Scott, trading as NPW Coaching, uses information collected through this website and our Facebook or Instagram challenge enquiry forms. Contact: ben@npwcoaching.co.uk.
When you request the application
Our Facebook and Instagram enquiry form collects your full name, email address and mobile number, including country code. By submitting it, you ask Ben to send the challenge application by email and contact you personally by email or text about that request. This does not subscribe you to ongoing marketing. We do not automatically send SMS or WhatsApp messages.
Meta passes new enquiries to a dedicated list in our NPW Coaching Brevo account. We keep that list separate from ongoing marketing subscribers and retain existing unsubscribe preferences. We may match your enquiry and application using your email address to follow up on your request and measure the journey. A request for an application is not a completed application or a purchase.
When you apply for the challenge
When you apply for the challenge, we collect your name, email, age, height, weight, usual activity, goals and any answers you choose to provide. We use these to administer your registration, assess suitability, prepare starting guidance and contact you about the challenge. Please do not include medical histories in open text fields.
We record when you submit the form, the consent wording version and whether you choose to receive marketing. Ben may add private notes and an application status to manage follow-up. There are no automated decisions about whether you are likely to buy coaching.
Our reasons for using your information
We use contact and application details to take steps at your request before providing a service and to deliver that service. We request explicit consent to use information that may reveal health details for starting guidance. Marketing emails are optional and based on your separate consent. We use limited technical records for our legitimate interest in preventing spam and keeping the site secure.
Who handles it
Applications are stored in a database provided through OpenAI Sites and Cloudflare, with restricted dashboard access. We use Google Workspace for correspondence and Brevo for challenge emails. Brevo stores enquiry names, email addresses and mobile numbers, along with contact preferences and email delivery records. It sends the requested application and challenge emails. We do not use this enquiry connection to upload contacts to Meta advertising audiences. Application answers stay in our application system and are not included in confirmation or notification emails. Ben receives an email alert when an application is completed; this is separate from receiving a new Meta enquiry. Payments are handled by Stripe; NPW Coaching does not receive full card details. Facebook hosts the challenge and Mastery communities under its own privacy terms. Your application answers are not published to Facebook.
These providers may process information outside the UK. Where required, international transfers must use an appropriate safeguard, such as an adequacy decision or approved contractual terms. Contact Ben for information about the arrangements applicable to your data.
How long we keep it
We review enquiry and application records within six months of the challenge ending and delete records no longer needed for follow-up, coaching, handling a query or a legal obligation. This includes checking records held in Brevo and Meta. A minimal suppression record may remain so that we respect requests to stop contact. If you become a client, relevant details form part of your coaching record and are reviewed when coaching ends. Financial records are kept for applicable accounting requirements. Marketing preferences are kept until you withdraw consent, with a minimal suppression record where needed to respect that choice.
Your choices and rights
You can ask to access, correct or delete your information, restrict or object to its use, and request a portable copy where applicable. You can withdraw consent at any time by emailing Ben; this does not affect processing already carried out. Withdrawing consent to use your starting information may mean we cannot provide personalised portion guidance. Ask Ben about a general educational alternative.
To stop challenge emails or personal texts, reply to Ben and ask to stop, or email ben@npwcoaching.co.uk. Requested application emails also include an unsubscribe link. We will respect your contact preferences. You can unsubscribe from ongoing marketing without leaving the challenge; its optional consent is separate from your application. If you are unhappy with how your data is handled, contact Ben first or complain to the UK Information Commissioner’s Office at ico.org.uk.
Cookies and site security
This version does not add advertising pixels or analytics cookies. Essential sign-in cookies are used for the private dashboard. Anti-spam checks use a short-lived hash of the network address rather than storing it in the application record. Font files may be requested from Google Fonts. Third-party sites, including Stripe and Facebook, have their own cookie notices.
